FlowBridge ("we", "us", "our") operates the FlowBridge order management platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services, including our integration with the WhatsApp Business Platform provided by Meta Platforms, Inc.

2. Information We Collect

2.1 Account Information

When you register for a FlowBridge account, we collect your name, email address, phone number, business name, and other business details necessary to provide our services.

2.2 Order and Transaction Data

We process order details, payment information, shipping addresses, and related transaction data as part of our order management services.

2.3 WhatsApp Business Integration Data

When you connect your WhatsApp Business Account to FlowBridge, we collect and store:

  • Your WhatsApp Business Account ID and associated phone number
  • Authentication tokens required to send messages on your behalf
  • Message delivery status information (sent, delivered, read)
  • Message template content that you create for order notifications

We access WhatsApp data solely to send order-related notifications (payment confirmations, shipping updates, collection reminders) to your customers on your behalf. We do not read or store the content of incoming WhatsApp messages beyond delivery receipts.

2.4 Customer Contact Information

Customer phone numbers and email addresses stored in your FlowBridge account are used to deliver order notifications via your configured channels (email and/or WhatsApp).

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain our order management platform
  • Send order-related notifications via email and WhatsApp on your behalf
  • Process and manage your WhatsApp Business Account connection
  • Monitor message delivery status and provide delivery reporting
  • Improve and personalise your experience with our services
  • Comply with legal obligations and resolve disputes

4. Data Sharing and Disclosure

We share your information with the following third parties as necessary to provide our services:

  • Meta Platforms, Inc. — WhatsApp Business API for sending order notifications. Subject to WhatsApp Business Policy.
  • SendGrid (Twilio) — Email delivery for order notifications.
  • Sage — Accounting system integration where configured by you.

We do not sell, rent, or trade your personal information or your customers' personal information to any third parties.

5. Data Retention

We retain your account data for as long as your account is active. WhatsApp message logs are retained for 90 days for delivery reporting purposes. When you disconnect your WhatsApp Business Account, we delete the associated authentication tokens. You may request deletion of your account and all associated data at any time.

6. Data Security

We implement appropriate technical and organisational security measures to protect your data, including encryption of authentication tokens at rest, secure HTTPS communication, and access controls limiting data access to authorised personnel only.

Depending on your jurisdiction, you may have the right to:

FlowBridge uses the WhatsApp Cloud API provided by Meta Platforms, Inc. to enable businesses to send order notifications to their customers. By connecting your WhatsApp Business Account:

  • You authorise FlowBridge to send messages on behalf of your business
  • Messages are sent only for order events that you explicitly enable
  • Message templates must be approved by Meta before they can be sent
  • Your use of WhatsApp through FlowBridge is subject to the WhatsApp Business Terms of Service
